Job Description
The main "Frontline Workplace, Facility & Administrative Anchor" for all of our office buildings and operational locations is the Total Facilities & Administrative Operations Executive-Plant & Office Maintenance, Vendor Management, Transport, Procurement & Facility Safety. Your main responsibilities include supervising daily administrative tasks, managing workplace facilities, coordinating third-party vendors, managing office procurement, supervising security and housekeeping staff, organising corporate travel and transportation, and maintaining asset registers, while department managers oversee core business operations and human resources teams handle employee relations. As the "Guardian of Office Up-time, Facility Hygiene, Administrative Efficiency, Vendor SLA Compliance, and Zero Operational Disruptions," you assume direct responsibility for ensuring that every employee and visitor has a seamless, secure, hygienic, and productive physical working environment.
Responsibilities:
Facility & Workplace Operations: Manage the daily operations of the office and plant facilities, making sure that the furniture, lighting, air conditioning, plumbing, electrical systems, and office infrastructure are all kept safe, clean, and operational.
Vendor Management & SLA Oversight: Monitor performance, assess Service Level Agreements, and confirm monthly vendor billing while coordinating with outside service providers (housekeeping, security, pest control, HVAC technicians, waste management, and cafeteria vendors).
Administrative Procurement & Inventory Control: Create buy requisitions, evaluate vendor quotes, and keep track of inventory levels. Manage office supplies, stationary, pantry/cafeteria consumables, cleaning supplies, and safety gear stock.
Recordkeeping and Asset Management: Keep company asset registries up to date, monitor physical tagging, handle allocation/return logs, and plan recurring asset audits.
Logistics of Travel, Transportation, and Guests: Make reservations for business trips, monitor local commuter fleet arrangements, coordinate executive transportation, and plan guest hospitality.
Skills:
Facility & Office Operations Management: Practical knowledge in overseeing corporate office spaces, regular building upkeep, workplace cleanliness, and daily administrative procedures.
Vendor Relations & Negotiation: Excellent ability to manage third-party service personnel (housekeeping, security), negotiate service contracts, and hold service providers to stringent SLAs.
Fundamentals of Procurement and Budgeting: Knowledge of locating vendors, comparing prices, processing invoices, reconciling petty cash, and monitoring office expenses.
Communication & Crisis Handling: Excellent written and verbal communication skills to communicate with government/municipal officials, external contractors, and internal departments during regular or emergency facility difficulties.
